Code of Conduct:
Nature's Ethics, Our Mission
Promecens Code of Conduct
Ethical Innovation Rooted in Nature and Responsibility
Purpose and Commitment
At Promecens, we believe innovation means nothing without responsibility. We’re in the business of transforming how the world uses materials from biotech to bioeconomy by mimicking the principles of nature. That also means we must hold ourselves to higher standards of behavior, transparency, and integrity.
This Code of Conduct is more than a list of rules. It’s a reflection of our values. It guides how we treat one another, how we work with customers and partners, and how we represent ourselves in the world.
This applies to:
- All Promecens employees, regardless of role or location
- Contractors, vendors, interns, and research collaborators
- Executive leadership, board members, and stakeholders
Acting Within the Law
We expect every individual at Promecens to follow the law not just because it’s required, but because it’s right. We operate in a tightly regulated space: biotech, manufacturing, exports, and product safety. That means precision matters.
You are expected to:
- Understand and follow the laws that apply to your work, including Indian biotechnology, environmental, labor, and IP laws
- Maintain accurate records financial, operational, and scientific
- Cooperate with audits, inspections, and licensing requirements
- Avoid shortcuts, even under pressure
If you’re ever unsure about whether something is legally or ethically right, ask. We’re here to support you.
Scientific Integrity and Product Safety
Everything we create, whether it’s a melanin extract or a next-generation chitosan blend, must meet the highest scientific and safety standards. Trust in our company begins with confidence in our results.
We commit to:
- Transparent, traceable, and reproducible research
- Honest labeling and claims on every product we offer
- Full disclosure of risks or safety issues in R&D and manufacturing
- Proper certifications (e.g., GMP, ISO, COAs) for every formulation
What’s not okay:
- Falsifying test data
- Withholding negative results
- Rushing unsafe products to market
We’re here to solve real-world problems, not to create new ones through carelessness.
Sustainability and Environmental Responsibility
We’re here because we believe the world needs cleaner, safer alternatives to synthetic chemicals and wasteful materials. That belief must be evident in everything we do, not just our mission statements, but our daily choices.
This means:
- Choosing biodegradable, non-toxic, and renewable ingredients whenever possible
- Designing our processes to reduce water, energy, and chemical use
- Tracking and reducing emissions, waste, and packaging impact
- Working only with partners who share these values
Whether you work in R&D, operations, or supply chain, your decisions shape our environmental impact. Be mindful.
Respect, Inclusion, and Workplace Culture
Everyone deserves to feel safe, included, and valued at work. We’re building a culture where people from all backgrounds and disciplines can thrive.
We do not tolerate:
- Discrimination or bias of any kind
- Harassment, bullying, or verbal abuse online or in person
- Retaliation against someone who speaks up about unethical behavior
Instead, we promote:
- Equal opportunities for growth, promotion, and mentorship
- Support for mental and physical health
- Open communication, with zero fear of judgment
Everyone here plays a role in shaping our workplace culture. Lead by example.
Anti-Bribery, Conflicts, and Gifts
Integrity is at the heart of trust. That’s why we draw a hard line when it comes to bribery, conflicts of interest, and unethical gifts or favors.
Here’s what we expect:
- Never offer or accept bribes cash, gifts, discounts, or favors
- Politely refuse anything that could compromise your independence or judgment
- Always disclose any personal, family, or financial relationship that could influence your decisions
- Get written approval before accepting any gift above nominal value
We’d rather lose a deal than gain it dishonestly. Our reputation depends on doing the right thing even when no one’s watching.
Working with Suppliers and Partners
We only work with companies that share our values. Whether it’s raw material providers, research labs, or equipment vendors, we expect high standards across the board.
This includes:
- No child labor, forced labor, or unfair wages
- Proper workplace safety and environmental protections
- Accurate records and honest business practices
- Signed ethics agreements before work begins
We reserve the right to audit, question, or terminate any relationship that doesn’t align with our standards.
Confidentiality and Intellectual Property
Our science is our future. From our formulation methods to our market strategies, we safeguard our information not just for competitive advantage but to protect our innovation from misuse.
What you must do:
- Never share internal documents, formulas, or test results without authorization
- Use strong passwords, company-approved devices, and secure platforms
- Sign NDAs when required and follow them
- Report any accidental data leaks or suspected IP theft immediately
Our trust in each other includes how we handle what we build together.
Digital Responsibility and Cybersecurity
In a digital-first company, cybersecurity is everyone’s job. Whether you’re sending an email or logging into lab equipment, data protection is non-negotiable.
You must:
- Use company-approved software and tools only
- Never share your login credentials not even with coworkers
- Be cautious of phishing attempts, suspicious links, or unusual system activity
- Report anything that seems off to our IT or security team right away
We invest in secure systems but your behavior is our first line of defense.
Public Communication and Brand Representation
The way we speak online and offline matters. Whether it’s an email to a customer or a post on LinkedIn, what you say can shape how people view Promecens.
So please:
- Speak truthfully and respectfully about our company and our work
- Don’t make claims about product benefits unless they’re backed by data
- Avoid commenting publicly on sensitive business matters or competitors
- Let the communications team handle media inquiries and formal responses
Social media is powerful. Use it wisely, and always as a professional.
Speaking Up: Reporting Issues and Whistleblower Protection
You have the right and the responsibility to raise concerns when something doesn’t seem right. We value the courage it takes to speak up, and we protect anyone who does.
What you can report:
- Unsafe lab practices or ethical violations in research
- Harassment, discrimination, or mistreatment at work
- Fraud, bribery, or serious misconduct
- Any behavior that goes against this Code
How to report:
- Through your manager or department head
- Directly to HR or our designated Ethics Officer
- Anonymously through our internal reporting form or helpline (details available soon)
We will never retaliate against someone for raising a concern in good faith. Period.
Accountability and Enforcement
This Code isn’t a suggestion, it’s a shared commitment. Violating it can lead to disciplinary action, up to and including termination of employment or contracts.
We believe in second chances and learning from mistakes. But we also believe in accountability. Each one of us is responsible for protecting this company’s integrity.
Managers and leaders have an extra duty: to lead by example, address issues quickly, and ensure this Code is followed not just on paper, but in practice.
At Promecens, we’re building a future with intention. That means our science must be safe. Our work must be ethical. And our team must operate with integrity every day.
This Code of Conduct is not about control; it’s about alignment with the values and principles we hold dear. We commit to practicing these principles in all our affairs.
